Session Leader Responsibilities
Student Leaders
Share your session plans with your staff advisor(s) and seek feedback.
Complete this Final SAiL Session Plans form as soon as possible. This form is required by Friday, April 28th.
Complete permission slips , get staff advisor's approval, copy permission slips, and distribute to all student participants at our first SAiL planning meeting during AFT on Thursday, 4/27. Please note: student leaders need to submit completed permission slips as well.
Email SAiL (sail@falmouthschools.org) to reserve school buses, reserve classroom space, and with any other questions.
FHS Staff Advisors
Collect permission slips. All students, including student leaders, need to turn in completed permission slips. Keep permission slips with you during SAiL as they contain emergency contact information.
Collect all participation fees (if applicable) and bring to Ms. Blenk. Students unable to pay participation fees should complete this Scholarship Application so SAiL can cover those costs.
Take accurate attendance during SAiL and let Angela Olsen know which students are absent.
Bring any receipts to Ms. Blenk for reimbursement.
Important Reminders
Permission Slips: Every student, including student leaders, in your session should now have a permission slip. We are asking that staff advisors collect those and keep them with them during all contact hours of the session as they have medical information and emergency contact information on them. If a student does not submit a completed permission slip by the beginning of your session, they may not participate in SAiL and should report to the Academic Recovery session. Please report the names of these students to Angela Olsen for attendance purposes.
Participation Fees: If your session is collecting a participation fee, please have staff advisors collect those along with permission slips. Students needing financial aid can apply for support using our Scholarship Application. Staff advisors please bring money collected to Ms. Blenk. Checks should be made out to Falmouth High School.
Fundraising: The SAiL Committee is hosting a babysitting night fundraiser Friday, April 28. This is an opportunity for you to earn additional funds for your SAiL session as well as 4 community service hours. Volunteers need to be at FHS by 4:30 pm for set up and should be done by 8:30 pm. We will be babysitting from 5:00 pm to 8:00 pm and providing kids with pizza for dinner. Responsibilities include helping elementary-aged students at arts and crafts stations, in the gym for games, in the library for movies, etc.. Any session leaders interested in volunteering should complete this sign up form as soon as possible. We will take volunteers on a first come first serve basis. This is an easy and fun way to earn money for your SAiL session.
School Buses: We're submitting bus requests to transportation today. Please check our Final Session Details (coming soon) sheet to make sure we have your request noted correctly. (To see your request, hover your cursor over column H for your session and the note with the details should be visible.) School bus fees ($25/hour) should be considered when budgeting your session. SAiL will cover the fuel costs for buses.
Gym Equipment: If your session is hoping to borrow any equipment from the gym, please submit your requests via email to Ms. Warner and Mr. Hilton as soon as possible. Ideally those requests should be in at least a week before SAiL as teachers need time to gather the equipment.
Food for Monday and Tuesday of SAiL: For sessions meeting on campus, the cafeteria will be serving breakfast from 7:30 to 8:30 and lunch from 12:00 to 1:00. Free meals will be available just as they are every other school day. Additionally, SAiL will be providing free snacks to all students/staff starting at 10:00 am in the cafeteria. Stop by anytime to pick some up.
Monday's lunch will be "a cook-out" : we will have hamburgers, veggie burgers, hot dogs & veggie dogs. The salad bar will offer caesar salad, fresh fruit, burger toppings, etc.
Tuesday's lunch will be "naco Tuesday" : we will have seasoned beef, beans, and all the toppings on the salad bar.
We will have a few pre-made cold sandwiches that students can choose from if they prefer. All the drinks & chips will be offered as usual.
Student/Staff/Parent Drivers: If your session is using private vehicles to transport students, drivers need to drop off a copy of their license and a copy of their full insurance policy over at the superintendent's building by Friday, May 12. All drivers must get pre approval from the district in order to transport other students. Please contact Jessica Scranton with any questions.
Community Volunteers: If your session has a community volunteer helping to chaperone, please make sure they have completed the district's volunteer application (link). All non-staff chaperones must be approved district volunteers. This does not apply for guest speakers, only those in chaperone roles.
Reimbursements: Session leaders may get reimbursed for session costs by submitting receipts to Ms. Blenk. All receipts must be submitted by Friday, May 26. Sessions have up to $75 from SAiL and anything collected via participation fees to spend. No receipts need to be submitted for school buses. Those will come directly from your $75.
SAiL Rosters: You must follow the official SAiL roster (coming soon) for your session. You may not add anyone else to your session without prior approval. For any roster questions, see Ms. Blenk.
Final Details: Please review our Final Session Details (coming soon) sheet carefully. If you see any mistakes or omissions, please let us know immediately. All onsite sessions must have a room number or outdoor classroom listed so the office can find people when needed.
Guidelines for Running a Session
--- Sessions must meet for at least 12 hours between Saturday, May 20 - Tuesday, May 23
--- At least one FHS Staff member must be present during all contact hours
--- Due to driver shortages, School buses are only available between 9:00 am and 1:30 PM on the days of SAiL (Monday and Tuesday). Buses can be available on Saturday and Sunday. Please email SAiL with specifics about your school bus needs and we'll book the buses for you.
--- Staff, Chaperones, and Students may use their own cars to transport session members if they have provided Jessica Scranton with a copy of their driver's license and proof of car insurance (the full policy, not just the card) by Friday, May 12.
--- All students participating in SAiL must turn in permission slips . We have emailed session leaders the form templates with directions on how to complete and distribute.
--- SAiL has $75 to support each session. This money can be used for supplies, admission tickets, food, parking fees, etc. Please submit receipts to Ms. Blenk by Friday, May 26 to get reimbursed.
--- Sessions needing more than $75 may charge up to a $100 student fee for participating. This money can be used to cover the cost of supplies, transportation, tickets, food, etc.. SAiL has scholarships available for students unable to cover a participation fee (Scholarship Application). Collected fees should be turned in to Ms. Blenk prior to the start of the session. Session leaders need to submit receipts directly to Ms. Blenk by Friday, May 26 for reimbursement.
